When AI Gets Your Wedding Venue Wrong: Our Fact-Checking Process

By Scarborough HouseTech Talk

A couple asks an AI assistant for a wedding venue near Raleigh where their favorite people can stay all weekend. Scarborough House appears in the recommendations. The next question asks for a unique experience, and we appear again.

That is encouraging. Then the conversation gets more specific. The assistant describes all 13 bedrooms as being inside the historic manor. It repeats older overnight numbers. It suggests a weather flexibility the property should not be assumed to provide, and it draws conclusions about neighbors and sound limits.

Some details match our published information. Some do not. That makes the exchange useful for more than a marketing screenshot. It gives us a practical audit: what information can an assistant find, what does it misunderstand, and which parts of our own writing helped create that misunderstanding?

We followed a real decision, not one favorable prompt

The owner began with a natural question about a weekend wedding near Raleigh, then asked about a unique experience. Follow-up questions explored which venue to choose, what a Friday-to-Sunday stay would look like, comfort, overall value, and potential regrets.

The recommendations changed as the priorities changed. We are not presenting the conversation as proof that one assistant always ranks us first. A single exchange is not a controlled ranking study.

What mattered was the detail underneath the recommendations. Asking an assistant to distinguish confirmed amenities from ideas still produced statements needing verification. Asking for official sources did not make every conclusion reliable.

Our first step was to separate the claims

We did not label the entire response right or wrong. We broke it into checkable statements: bedroom count, overnight capacity, building layout, weekend access times, included furniture, fire-pit count, weather arrangements, sound cutoff, and vendor policy.

That matters because an answer can contain a correct price beside an incorrect sleeping arrangement. Throwing away the whole answer hides useful evidence. Accepting the whole answer because one part is accurate creates false expectations.

We also kept subjective descriptions separate. “Luxurious” or “the best fit” is not the same kind of claim as “every bedroom is inside one building.” One is an assessment; the other should be checked against the property.

Then we checked our own website

The live lodging page and capacity guide already explained a total of 29 overnight sleeping spaces. They also described 28 standard bedroom spaces and a common 26-person sharing arrangement. That is useful detail, but it gives a summarizer several numbers to choose from.

More importantly, a different page said families could stay “under one roof.” That was our wording. It was also visible in a search result.

Our lodging is distributed across the estate. The phrase was meant to communicate togetherness, but it suggested a physical layout that is not accurate. We do not need to argue that the assistant should have understood our intention. We need to use a more precise sentence.

The venue described online should match the place a couple visits. Photographs and specific explanations work better than ambiguous shortcuts.

The correction starts with one clear lodging statement

Scarborough House has 13 bedrooms across the estate, with beds for up to 29 overnight guests. The bedrooms are not all inside the historic manor.

The practical plan depends on who is comfortable sharing bedrooms, sharing beds, and using bunk beds. Thirteen people can each have a bedroom. Two people per bedroom is a 26-person planning example, not the maximum. The total sleeping-space count includes one open-area bonus twin.

This is not a claim of 29 separate beds, and it is not the event guest limit. Someone attending the wedding and someone sleeping on-site are different categories. We are making those distinctions prominent instead of expecting a reader or an assistant to reconstruct them from several pages.

We also inspected public directory listings

The audit found older “26+” lodging language on three wedding directories. One directory described two fire pits; another described six. A search result for one listing showed older accommodation language that differed from the current fetched page.

Those are useful findings, but they have limits. A search snippet and a live page can disagree. The copied AI conversation showed citation labels without the destination URLs, so we could not prove which individual sentence came from which source.

We therefore documented possible inputs, not an invented retrieval trail. We did not claim to have corrected directory accounts merely because we could inspect their public pages. The current Google Business Profile description was not verified in this audit, so we did not name it as the cause.

We distinguished source errors from unsupported conclusions

Thinking about touring? Most couples know within the first ten minutes on the grounds. See tour times or check pricing first.

Our homepage states that amplified sound ends at 11 PM. Two inspected directory listings also mention that cutoff. Yet the assistant's comparison suggested unusual freedom from noise limits based on the country setting.

Farmland does not prove there are no neighbors. On-site lodging does not eliminate a sound policy. A quiet conversation after the reception is not the same as continuing amplified music.

The weather description needed the same care. Our pavilion is covered and open-air, with heaters and fans. It is not an enclosed climate-controlled ballroom, and the historic lodging is not an automatic indoor reception backup. Descriptions such as “heated and cooled” can invite stronger conclusions than the equipment supports.

We made the package description more specific

The owner confirmed that the standard $10,500 weekend venue fee includes 200 chairs and tables for those chairs, access to available estate decor, use of all 13 bedrooms with on-site lodging, and the cleaning fee.

Older 150-chair wording was inconsistent with that current owner-confirmed package. A vague “furniture included” sentence would not solve the problem. The quantity belongs in the answer.

The separate costs matter too. Food, drinks, bartending, and other vendor services are not included in that standard venue fee. Open vendor choice with zero venue markups does not mean safety, legal, insurance, or operating requirements disappear. These benefits apply to the stated weekend package, not automatically to every weekday or micro-wedding offer.

A correction needs to reach more than the visible paragraph

The business facts matter because real people make travel, room-sharing, and wedding plans around them.

For this website, the work includes the page people read, its frequently asked questions and structured data, the HTML provided to crawlers, and the package information loaded from the API. We also reviewed the venue's published AI-reference text and the facts used by our own content tools.

Changing only the first paragraph would leave other systems repeating the old explanation. Changing only the package fallback would allow saved package data to replace it after the page loaded.

That is why we are treating this as a consistency job rather than a collection of clever prompts. Clear sources are useful whether a visitor reads them directly, finds them in search, or encounters them through an assistant.

Prepared, published, and verified are different states

Our correction process records these separately. A code change in development is prepared. A package-data update checked through the public API is a verified data change. A production website update still needs the normal publishing step and a check of the live result.

The audit and subsequent work include corrected website source and verified weekend-package data updates. That does not mean every older directory listing has changed, every search result has refreshed, or Gemini has stopped repeating an older statement.

We are not promising an instant AI correction. We can maintain the information we control, request corrections where appropriate, and check later answers against real sources. We cannot honestly guarantee when another service will retrieve or summarize the new wording.

What another business can take from this

Start with questions customers actually ask. Save the answers and their clickable sources when available. Break claims into a checklist. Compare the current website, crawler-visible information, and outside profiles. Ask the owner to settle business facts rather than asking an assistant to choose between contradictory numbers.

Then correct your own misleading language first. Do not blame an assistant for taking “under one roof” literally while continuing to publish it. Keep precise facts close together, separate included services from optional arrangements, and record what you changed and what you actually verified.

The point is a better-informed visit

A real view of the property is the starting point. A visit and a clear written agreement settle the practical details.

We like seeing Scarborough House recommended. We care more that a couple arrives with an accurate picture of the place.

There is plenty to enjoy without inventing anything: time together on a country estate, overnight lodging for a close group, a pool, and quieter conversations after the celebration. Fiber-optic internet is there when you need it. The aim is to disconnect from the rush of the world, not make checking a message impossible.

If you are a couple checking something an assistant told you, visit Scarborough House Wedding Venue and ask us directly. The free Couples Portal and vendor directory are also available whether or not you book here. If you run a venue, this is the standard we are trying to meet ourselves: publish the facts clearly, own the ambiguous wording, and distinguish a correction made from a correction merely hoped for.
